FOR LEGAL PERSONS

e-File allows queries to be made on behalf of a legal person if you log in to the system in the role of a legal person. The basis for the right of representation is the legal right of representation entered in the commercial register or an authorisation granted in Pääsuke, the central authorisations management information system, located in the State Portal (eesti.ee).

As a legal representative or an authorised person in e-File, it is possible to make the following queries from the Criminal Records Database on behalf of a legal person:

  • regarding the legal person themself;
  • regarding another natural or legal person;
  • regarding another person on the basis of an authorisation;
  • regarding restrictions on working as a child protection worker or a person working with children.

Queries regarding another natural or legal person are subject to a fee. Further details on the payment of state fees can be found at State Fees.

If desired, the legal representative of a legal person may authorise another natural or legal person via the e-File to make free queries regarding the punishment data of the legal person on whose behalf the legal representative is acting (Authorisations --> Authorisations I have granted).

The e-File issues a digitally stamped extract from the Criminal Records Database. A digitally stamped extract from the Criminal Records Database is an official document.

The response to an query regarding restrictions on working with children is displayed in the e-File application, and no digitally stamped extract is issued. If you require a digitally signed or paper-based official document, you must complete an application and submit it directly to the Criminal Records Database. For more details on requesting an extract from the Criminal Records Database, see Issuing a Notice from Database.

If a legal person/organisation has a legal basis for making free queries (including bulk queries) from the Criminal Records Database, queries on behalf of the legal person may be made by a person authorised in Pääsuke to make free queries from the Criminal Records Database. Free queries may be made regarding a natural or legal person, and to check restrictions on working with children and the requirements imposed on security personnel. Further information on free queries can be found under Exemption of institutions from the payment of state fees.
